Building Your First Checklist Template

Not everything needs AI. A lot of shop-floor quality is just routine checks done consistently and recorded properly — the pre-job walkaround, the receiving inspection, the end-of-shift sign-off. Checklists are Flaggity's deliberately simple digital clipboard for exactly that: no AI, no photo analysis, just a clean template you build once and reuse, on paper or on a tablet with a signature.

Building a template

  1. 1 Open Checklists, go to Templates, and create a new one.
  2. 2 Add sections to group related checks, then add items under them. Each item is one of three types: Yes/No, Pass/Fail, or Text Note.
  3. 3 Keep it focused — a template can hold up to 30 items, and a tight checklist gets completed honestly while a bloated one gets rushed.
  4. 4 Save. The template is now available to your team to use.

Using a template

  • Print blank — generate a clean PDF to clip to a board for paper use.
  • Fill digitally — step through it on a phone or tablet and capture a signature at the end.
  • Create an NCR — if a check fails, turn that failed item straight into a linked Non-Conformance Report, so a failed checklist doesn't just sit there.

When a checklist is completed, the item labels are snapshotted onto that completion. That means if you later edit the template, your historical records don't silently change — what was filled in stays exactly as it was filled in.

What happens next

Completed checklists become part of your records, and any failures you escalate flow into the same NCR/CAPA quality track as your AI inspections. So checklists and AI inspections feed one quality system, not two parallel ones.

Common questions

Why no AI on checklists? Because their whole job is to be simple and fast for routine, human-judgment checks. Mixing in analysis would defeat the point. AI lives in inspections; checklists are the digital clipboard.

What if I change a template after people have used it? Past completions keep the labels they were filled in against, so your history stays accurate. New completions use the updated template.
